Overview
Tracking time is a core requirement in many apprenticeship and work-based learning programs - especially those that are time-based or have hybrid hour-and-competency structures. Craft’s Time Tracking configuration helps admins set up hour-based requirements in a way that’s both structured and flexible. Whether you're meeting Department of Labor standards, managing funding requirements, or simply helping learners and evaluators stay aligned on expectations, this tool enables you to define targets, reduce administrative overhead, and ensure progress is visible across roles.

Enabling Time Tracking
Step 1: From your program page, click + Add Time Tracking.
Step 2: Review the message on the pop up and click Next.
Step 3: Enter the item you would like to track and the target amount of hours. If you would like to track and additional item, click + Add Another Item. If you need to delete an item, select the trash can icon.
Step 4: When you are finished adding your items, click Next.
Step 5: Select if you would like learners to track time By Day or By Month, then click Save.
If you would like to edit your time tracking items, click Edit Time Tracking at any time.
Viewing Learner Time Entries
To view time entries your learners have logged to monitor their progress, please follow the steps outlined in the video below.
Monitoring Progress
To get a consolidated view of learner progress against required hours across your program, use the Time Tracking Hours Progress Report. This report breaks down hours by approval status (Approved, Pending, and Returned) and compares them against each learner's target, making it easy to identify who may be falling behind and where.
